December 2016 Meeting Minutes

OTES PTC Meeting

December 7th, 2016    

Opening: Vicki Wilcox – Guidance Counselor – Vicki presented on the new curriculum she is using in guidance this year. This is the curriculum that they are using at the middle school and will be a good transition for 5th grade students. She showed us a short video clip and some of the other tools that she uses in the classroom. In addition, Vicki has started a Civil Rights Team that is going well. Jeanna recognized Vicki for all of her efforts here at OTES, she has helped to create a safe place for students, teachers, and families.

New Idea: Kiersten O’Brien is a Doterra representative and reached out to Mrs. Talon about possibly teaming up with the PTC for an event. Mrs. Talon has asked Kiersten to put it on paper and she would bring it to a future meeting. All in favor of hearing more about this.
Box Tops: Kathy deposited a check for $1900 from Box Tops. AWESOME!  

Online Auction: We raised $4214.50! Kathy wanted us to discuss ideas for how to spend this money. We voted yes to pursuing new laminators, both for large and personal use. There was an inquiry to the status of the playground – specifically the climbing wall. Jeanna has reached out to several reps and is still working on this. Playground equipment (balls, jump ropes, etc) has been purchased already. However, we would like to revisit this in the Spring.

Governor's: We raised $344 this year. Seemed to go well.  

Holiday Bazaar: Concessions raised $366. Seemed to go over very well. Would like to clarify on advertising that it is free entry. The kids table went over very well and the traffic was consistent. People think that advertising helped significantly this year.

Puppet Show: Looking for more people to help serve popcorn and water. Marion Talon and Kelly Berube both signed up. Donation boxes are ready.

Art Fair: It was brought to our attention that other schools do not want to pay for the food at the Art Fair. The cost in past years has been ~$800. There was some concern that if we paid for it this year that it may become expected of us in the future. Some felt that where it is a K-12 District Wide event that all schools should contribute to some extent. The decision was made that we would pay for the food with the understanding that we would be cutting back to include fruit tray, veggie tray, and desserts.

Basketball Concessions: This is a 5-week commitment. If this was something that we wanted to continue to do more parents would need to come forward to volunteer. We made ~$1000  last year. Many people donated items, but not many were able to give their time. Heidi suggested that the Girl Scouts could take over this year with the understanding that they would provide their own equipment. They could use our old hot dog steamer. We will revisit this next year.

Talent Show: January 27th Try Outs will be January 19th. Jeanna will need a couple parents to help with this.

PTC Members Facebook Page: We decided to remove this from the agenda. Parents who initially made the suggestion have not been present. We feel that the Facebook events paired with the RSU 34 Facebook page, and blog are sufficient at this time.

5th Grade Celebration: Denise will begin recruiting parents after Holiday Break. They will send out a One Call to all 5th Grade Parents.

November 2016 Meeting Minutes

OTES PTC Meeting

November 2nd, 2016    

New Idea: Dr. Tuell asked if we would like to have Vikki Wilcox come in next month to talk to us about the New Guidance Curriculum. She will be coming to our December meeting.
New Idea: April suggested we try providing childcare similar to how the Riverside Dance program does it at the high school. Parents could notify April by noon the day of our meetings to let us know if they will need childcare and April could arrange it with the students from UMaine.  The concern was that college students were taking the time to provide childcare, but we rarely needed it. This way, the students would only come when they were needed and we would still able to offer childcare to parents.  

Box Tops: Kathy gave Dr. Tuell report. We were just shy of $1500. Postage reimbursement was also submitted and approved.  

Online Auction: Annual event. Bidding begins the end of November, winners announced at the Holiday Bazaar in December. Looking for a variety of donations to be included in the auction. Please contact Kathy if you have any ideas. We upgraded to 200 items for $160. Teachers are going to be submitting artwork from their classes to be auctioned off.

Fall Fundraiser: We raised $3600, which is consistent with what we have done in previous years. Last year we did a blanket letter giving the parents the opportunity to make a one-time donation instead of purchasing items from the fundraiser. Would like to keep this in mind for next year. We arranged for parents to help sort through the items when they are delivered. We also set up two times that parents could pick up their items – Nov 15th 3-5 and Nov 16th 2-4. Notice will go home to families.

Ice Cream Social: Went over very well. Would like to keep it in the fall for next year as well.

Governor's: November 15, 2016 from 4-8 PM Governors will donate 10% of all sales and will provide two $50 gift cards for OTES PTC to raffle off. Maggie will share Facebook event on RSU 34 page.

Holiday Bazaar: December 3, 2016 from 9 AM to 2 PM. Still accepting applications for vendors. Tiffany brought one of the signs she had made. They look great! It was $76 for four signs. Tiffany spoke on the advertising she has been working on. Heidi and Tiffany will get Volspot together for concessions. Lynn would like to have a table to sell the books left over from the Author Visit, with proceeds going to the library.

Puppet Show: Date confirmed: December 9, 2016 at 6 PM. Legend of Sleepy Hollow. Will be asking for a suggested donation to benefit and local charity.

T-Shirts: Denise took a few orders for PTC t-shirts. If you are interested in purchasing a t-shirt, contact Denise at Will create separate blog post with this information.

PTC Members Facebook Page: Tabled for next meeting as those that made suggestion were not present.

Talent Show: January 27th, 2017 – Dr. Tuell will be looking for parent volunteers to help the day of the show. Will discuss more as the event gets closer.

Pancake Breakfast: We were asked to change the date because June 2nd is the same day as the 4th Grade Augusta field trip. A couple dates were discussed – June 1st and May 31st. We settled on May 31st for now where June 1st is the tentative 5th Grade Celebration date. Will need to touch base with Kate Yerxa to make sure this works for her.

October 2016 Meeting Minutes

October 5, 2016

New Idea: PTC to buy Sam’s Club gift cards from the LMS fundraiser to use to purchase the community snacks. All in favor.

New Idea: Closed OTES PTC Facebook group. Will discuss further next month.

Box Tops: $1100 in redemption; Next date to submit Box Tops is November 2nd. Sheet will be attached to weekly update.

Online Auction: Annual event. Bidding begins the end of November, winners announced at the Holiday Bazaar in December. Looking for a variety of donations to be included in the auction. There is a formal letter that can be used to solicit businesses for donations. List of businesses Kathy has contacted will be posted on the blog.

Fall Fundraiser: Charleston Wrap. Looking for more PTC volunteer to help with this fundraiser next year: specifically tallying the sales.

Riverfest: We stayed until we ran out of food and raised $419. For next year we need to purchase extension cords and a PTC sign.

Ice Cream Social: Friday, October 7th, still looking for a few more volunteers.

Governor's: November 15, 2016 from 4-8 PM Governors will donate 10% of all sales and will provide two $50 gift cards for OTES PTC to raffle off.

Help needed with Friday night set up and concessions on Saturday. $20/space (1 table and 2 chairs), and each additional space is $10.

Ice Cream Social

We are hosting our Annual Ice Cream Social on Friday, October 7th. We are looking for volunteers from 1145-2 (or any portion of this) to help set up and serve ice cream to the students. It's sure to be a blast!

Community Dinner

Thank you to all of our students and parents that came to Open House this past Thursday September 15th.  There was a great turnout! We raised approximately $1000 from our spaghetti dinner and $500 from the raffle baskets. These proceeds will benefit our Afterschool Programs that take place in the Fall, Winter, and Spring.

Special thanks to Dr. Tuell and Kate Yerxa who head this event as well as all of the other parent and staff volunteers who made this night possible. You rock!

Minutes to the September 2016 PTC meeting

OTES PTC Meeting Minutes September 7, 2016 President: Heidi Brewer-Rackliffe Vice President: Denise Nickerson Reviewed the OTES PTC Mission and procedures. Two positions need to be filled: Treasurer - Erin Vose Secretary - Kate Yerxa and April Smith Budget for 2016-2017 was approved. Budget Expenditures: Frogtown Mountain Puppeteers - Those in attendance voted to replace the Movie Night in December with the Frogtown Mountain Puppeteer. The show will be Sleepy Hollow. Playground Equipment - some equipment needs to be replaced (big kids climbing wall) and the Peace Path. Popcorn Popper - We are in need of a new popper as popcorn is key for concessions and other school events. Approved. Hot Dog Steamer - Approved. Box Tops - OTES earned over $2800 last school year. Send in your box tops monthly. There is a healthy competition between communities. Riverfest - will be selling chili, chili dogs, and nachos. Sign up will be sent soon. Campbell Soup Labels - Labels for Education will continue for one more year. Still doing - Tyson, Coke bottle caps Online Auction - In the process of soliciting donations. Second letter requesting online auction items will be sent soon. Will be open the last week of November. Spaghetti Supper - September 15th - Same time as the grades 1-5 open house. Classrooms will be open from from 4:30-6:00. Spaghetti Supper will run from 4:30-7:00. We will also raffle baskets at that time. Fall Fundraiser - Charleston Wrap (September 23 - October 5) Ice Cream Social - Moving it to the beginning of the school year to not compete with other end of the year events. Date: October 7th at 12:30. Will need help setting up, and serving. Governor’s Fund Raiser - November - date to be determined. 50/50 Raffle: February and June. Margarita's Fundraiser on June 10th

Join us at Margaritas Mexican Restaurant, 15 Mill Street, Orono, ME all day on Friday, June 10, 2016. Margaritas will host a Noche Mexicana Fundraiser and donate 20% of pre-taxed food and beverage sales from participating families, friends and supporters to the OTES PTC. PTC meeting minutes for April 6, 2016

Old Town Elementary PTC April 6, 2016 Updates on past events or fundraising: $1,004.00 box tops $900.00 for auction next year Basketball concessions $1,200.00 Book Fair $1,300.00 (early family night was better) Family Dance $92.00 (later time works better) Margarita’s Night changed to April 30 (checking to make sure) 20% profit for PTC Teacher Appreciation Margarita’s donating lunch and paper products. 10:00 set up (upstairs and downstairs) Basant has offered 4 air pots and coffee. Water container with spouts needed (Jeanna has one and possibly another) Gift cards to raffle off and maybe small items to go with it. Pancake breakfast June 2 Art Fair –catering; get more info. From Pam Pavers- $5.00 for each sold to the PTC. Amazon Smiles – need a number set up to get it started; Tina is working on this. Charleston Wrap –sell for 2 weeks Sept. 23- Oct.5 No food items (too difficult) Paint and sip $34.95/ $10.00 to ptc. Up to 38 people. Sunday at 3:00 was suggested May 22 or June 5. Old Town PTC Minutes March 2, 2016 The Booster’s at OTHS are selling pavers to help with the expense of the brick walkway. Mr. Walker has asked if the ptc would like to help with this project ($5.00 a paver would go to the ptc). This project is a go. The 5th grade parents have been able to make app. $200.00 each concession game. Donations of candy bars, hot dogs and rolls, ring pops, baked goods and Gatorade are needed. Texas Roadhouse brought in about $87.00 and the raffle baskets brought in about $97.00. We agree that we did better at Governors. Bookfair is coming up. Look on VolSpot. Looking for someone to dress up as Clifford. Family Dance- March 25 (5th grade) Margarita’s April 18th Teacher Appreciation Week- Monday: cut flowers; Tuesday: taco bar; chair massages, gift cards (1 per day) and coffee cart on Friday are some ideas. Box Tops: $1,020.00 March 2016 amount AmazonSmile is a new idea that was brought up. Art Fair –Pam to come and talk with us about her needs. Scentsy: Erin may have another Scentsy time in April. The last sales was app. $150.00. Paint and Chat- Generations Boutique $34.95 per person/ $10.00 donation per person. Can do up to 38 people. Great Lego’s Demonstration by Mrs. Daniel’s class. Minutes to the PTC meeting in February

OLD TOWN ELEMENTARY PTC MINUTES FEB. 3, 2016 Pinewood Derby brought in $234.77 through concessions. (money used for fifth grade celebration) Scentsy brought in $50.00 profit. Thank you Erin. A Scentsy candle warmer was donated for the Mother’s Day basket. (fifth grade celebration) $1,700.00 in Box Tops. Labels for Education has double points in May. Coke caps will end in July so we need help entering caps. Tyson offers .24 a label. We will look further into this and put it out to parents. Presentations for PTC nights: lego robotics will be the next meeting; other ideas virtual summer school, math and step up math program. Fundraiser: The pavers at the highschool. Mr. Walker joined us to see if we would like to help with the paver project at the sports facilities. $5.00 for each paver sold. Kate Robichaud would like to start a field day event at school and was wondering if she would have parental or ptc help. She will present her ideas soon. Talent show concessions for fifth grade celebration. Feb. 5, 2016 6-8:00 Basketball concessions (fifth grade celebration) Texas Roadhouse night Feb. 15; have raffle baskets. Six tickets for $5.00. Individual containers for people to put their tickets in. Library meeting will be on Monday to talk about the Book Fair. Tina will head up Margarita’s night. Teacher Appreciation will be the big item for the next meeting. Art Fair will be discussed later; June 3. NEXT MEETING IS MARCH 2, 2016

PTC meeting minutes for January 2016

OLD TOWN ELEMENTARY PTC MINUTES JANUARY 6, 2016 Bizarre brought in a little over $1,000.00. On-line auction over $3,000.00. Some suggestions were made for next year’s auction; we will look at these ideas and try to spread out the work and start early. Try to send out letters to those who have donated before to see if they would be willing to do it again. Movie Night was a hit although we will not do popcorn again. We could not stay up with the volume. Cookies and cocoa would work better. Two short movies worked well. 5th grade items: pinewood derby concessions, talent show and basketball concessions, fifth grade v.s. faculty basketball game. Meeting on January 20 @ 5:30. Feb. 15 Texas Roadhouse; raffle baskets? They offer a gift card to raffle off. Bugaboo Creek: School card; each time you eat the school gets a point. 150 points equals $10.00 for the school. Suggestions from parent survey: update Volspot, theme of ask and we will help and include educational info in the meetings. Ideas for educational topics: math, virtual summer school and NWEA results and how to understand them. Book Fair- March 22 Family Night will be earlier (Tuesday). Get new name pencils for our new staff. Ice Cream Social May 26 Pancake June 2 New ideas: Scentsy Party on line through facebook page with Erin Murphy; 20% profit to school. McDonalds cups (50 cups) sell for $15.00 a piece. Good for life of the cup, only at O.T. McDonalds, any time of day and 50 for each coffee. NEXT MEETING FEB. 3, 2016

Upcoming Event!!! TALENT SHOW EVENT

The PTC will sponsor the Talent Show at OTES. Students have been given a permission slip for try outs on January 15th from 2:30 to 3:30. It is important to send in the permission slip with the name of your act, music, and other information in order for us to be prepared for the try outs. The Talent Show evening will be held on February 5th from 6pm to 8 pm.
